Privacy Policy

Garden of Knowledge ("we", "us", "our") is a part-time Islamic supplementary school (madrasah) based in Milton Keynes. This policy explains what personal data we collect, why we collect it, and how we look after it.

What we collect

When you register a child, apply for a role, or contact us, we may collect:

  • Parent/guardian details — name, relationship, email address, phone number, home address.
  • Child/student details — name, date of birth, gender, school year group.
  • Emergency contact details — name, phone number, relationship.
  • Health and additional needs information — medical conditions, allergies, SEN concerns, and any prior Islamic education, where you choose to share these so we can look after your child properly.
  • Application data — CVs, cover notes and other information submitted by prospective staff or volunteers.
  • Communications — messages sent via our contact form or email.

Why we collect it

We use this information to:

  • Process registrations and manage admissions;
  • Keep children safe, including responding appropriately to medical needs, allergies and SEN concerns;
  • Contact parents/guardians and emergency contacts, including in an emergency;
  • Administer fees and attendance;
  • Assess job applications and volunteering enquiries;
  • Respond to general enquiries.

Lawful basis

We rely on the following lawful bases under UK GDPR:

  • Consent — for registration, health/additional-needs information, and marketing communications (where applicable);
  • Contract — to provide teaching services once a child is enrolled;
  • Legitimate interests — to safeguard children and run the school effectively;
  • Legal obligation — where we are required to keep certain records (e.g. safeguarding, safer recruitment).

Retention

We keep personal data only for as long as necessary:

  • Registration and student records are retained for the duration of enrolment and for a reasonable period afterwards for safeguarding and record-keeping purposes.
  • Job application data is retained for a limited period after a recruitment decision, unless you ask us to delete it sooner.
  • Contact form messages are retained only as long as needed to resolve the enquiry.

Sharing your information

We do not sell personal data. We may share information with:

  • Staff and volunteers directly involved in teaching or safeguarding your child;
  • Service providers who help us run the school (e.g. email delivery, hosting), under appropriate confidentiality terms;
  • Statutory authorities, where required by law or to protect a child's welfare.

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you or your child;
  • Ask us to correct inaccurate data;
  • Ask us to erase data we no longer need ("right to be forgotten");
  • Object to or restrict certain processing;
  • Withdraw consent at any time, where processing relies on consent.
